Privacy Policy

1. About this policy
This Privacy Policy describes how Awurade Na Aye Borehole Company ("we", "us", "our") handles the personal information you share when you visit our website at awuradenayeboreholes.com or contact us through the channels listed on it.

2. Information we collect
We only collect information you voluntarily share with us, plus basic technical data any website receives:
- Quote form submissions. Your name, phone number, project location, the service you need, and any project details you describe. Email is optional.
- Direct contact. If you call, WhatsApp, email, or visit an office, we keep the information you share (phone, email, message content) for as long as needed to respond and deliver the service.
- Server logs. Our hosting provider records standard request data for every visitor - IP address, page requested, timestamp, referring page, browser user-agent. Logs are used for security and troubleshooting.
- Cookies. A small number of technical cookies set during normal page operation. We do not set advertising or analytics cookies. See the Cookies Policy for specifics.
3. Legal basis for processing
Under the Data Protection Act we process your information on one or more of the following bases:
- Performance of a contract. Quoting for, scheduling, and carrying out the services you engage us for.
- Legitimate interests. Running and securing our website, preventing fraud, keeping records of past enquiries, and following up on outstanding quotes.
- Legal obligation. Keeping the accounting, tax, and statutory records Ghanaian law requires us to keep.
- Consent. Any purpose outside the above - for example, adding you to a list for occasional news about our services - happens only after you tell us you want it, and you can withdraw consent at any time.
4. How we use your information
We use your information to:
- Respond to your enquiry and send you a quote.
- Deliver the service you have engaged us for, including coordinating site visits, crew schedules, and materials.
- Send you service-related updates (for example, arrival ETAs, test results, or completion reports).
- Keep records of work done for accounting, warranty, and compliance purposes.
- Improve our services - for example, by noticing which regions or service types are generating most demand.
- Protect the website and our systems from misuse, abuse, or illegal access.
We do not sell, rent, or trade your information to anyone for marketing purposes.
5. Who sees your information
Your information is handled inside the company by staff who need it to do their job. Beyond that, we share information only:
- With our hosting provider (IONOS) which stores the mailbox and the server logs for this website.
- With sub-contractors or specialists we engage on a project (for example, a hydrogeologist or tiler), and only the information they need.
- With advisors such as our accountant, lawyer, or insurer, where they need the information to provide their services to us.
- With government or regulators when required by a court order, audit, or specific legal obligation.
- In a business transaction. If we ever sell the business, merge, or re-organise, customer records may move as part of that, and the new owner will be bound to the same commitments.
6. Third-party resources loaded on our pages
The website loads a small number of third-party resources. Each of those providers may log your IP address under their own privacy policy when their content is fetched:
- Google Fonts - serves the typefaces Outfit, IBM Plex Mono, and Manrope.
- Google Maps - embedded map tiles on the Locations section.
- WhatsApp (wa.me) - contacted only if you click a WhatsApp button.
7. International transfers
Our hosting provider's servers are in the European Union, and some of the third-party resources above are delivered from content-delivery networks outside Ghana. When your information crosses a border we do so under the protections the Data Protection Act allows, including contractual safeguards with the relevant provider.
8. How long we keep your information
We keep quote requests and project records for as long as needed to respond to you and to meet the retention periods set by Ghanaian tax and accounting law (typically six years from the end of the financial year to which the record relates). Server logs are typically kept for 30 to 90 days by our hosting provider.
9. Your rights
Under the Data Protection Act, you have the right to:
- Ask what personal information we hold about you and get a copy of it.
- Have incorrect or incomplete information corrected.
- Have your information deleted when we no longer need it (subject to records we must keep by law).
- Object to our processing your information for a particular purpose, or restrict that processing, where the law allows.
- Withdraw consent to any processing that relies on your consent.
- Complain to Ghana's Data Protection Commission (dataprotection.org.gh) if you believe your rights have been breached.

10. Security
We use reasonable technical and organisational measures to protect your information: HTTPS on every page of this site, access control around the mailbox that receives enquiries, password-protected access to internal records, and staff training on confidentiality. No system is ever perfectly secure, so please do not send highly sensitive information (such as bank-card details) through our forms - call us instead.
11. Children
The website and its services are intended for adults. We do not knowingly collect personal information from anyone under 18 without the involvement of a parent or legal guardian. If you believe a minor has sent us personal information, please contact us so we can delete it.
12. Changes to this policy
We may update this policy when our operations or the law change. The "Effective date" at the top always reflects the current version. Significant changes are announced on this page.
